Dear To-Do List Terrors,

Learning what to prioritize - and what NOT to prioritize - is critical to success and most importantly, your sanity. Feeling like you can't control your time, translates into not feeling in command of your life - and we don't want that.

​

Because you're feeling (rightly) overwhelmed by your to-do list, the goal is to not have to look at it more than a few times a week.

​

As someone with ADHD, I was constantly drowning in what I could or should be doing, so I created a system to identify a hierarchy of priorities that was realistic for my time and energy in a given week. (It's called the To Done Tracker and it will change your life.)

​

You can see my entire system here, but here's a sneak peek of the exact steps I take every Sunday when I prepare for the week:​
​

  1. Review your calendar to identify blocks of uninterrupted focus each day. No amount of time is too short but don’t exceed 90 minutes in one sitting without taking a break. Protect those times with your life (seriously, put 'em on your calendar, and don't let anyone schedule meetings!)
    ​
  2. Review all the initiatives that you’re currently working on and identify seven action steps to put into four columns:
    ​
    • "PRIMARY": Select ONE action step (and correlating micro-steps) to focus on as your Primary Priority - you’ll do this during the designated focus block. Don’t move on to any other steps until you’ve completed this. Unsure which action step should be your Primary priority? Ask yourself these two questions:
      • Is it time-urgent? (Due this week or next)
      • Will it impact my ability to do other things on my list?
        ​
    • "SECONDARY": Put TWO action steps under this column - these are important (maybe even urgent), but in the chronology of priorities, rank under the Primary. Usually, these are time-sensitive but not time-urgent. (Due in approx. two weeks.)
      ​
    • "IF I GET TO IT": Put THREE action steps under this column - these are your β€œnice-to-haves”, maybe something that has a long deadline and just needs consistent work.
      ​
    • "FOR ME": Put ONE action you can take that increases your well-being (emotional, physical, spiritual, etc.) Put this on your calendar and protect that time, otherwise it won’t happen! Remember, it’s a short-term investment that’ll pay long-term rewards.

It might take you a minute to get comfortable selecting your seven actions for the day, but trust me, once you do, it's SUCH a relief not to look at the all-encompassing, all-consuming to-list.
​

To make it easy, take a screenshot of this framework πŸ‘‡ and refer back to it every morning as you organize your day (or even better, do it the night before you can hit the ground running!)

Just remember YOU are in command of your time, even when it doesn't always feel like it.

SOMETHING HARD I'VE DONE: A few years back I was brought on to help a good colleague spin off a techology her team had developed into its own scalable entity. Instead, once I got in there and looked under the hood, I helped identify that the technology was not in a place where it could serve that purpose and that in fact, the potential business model would be cannibalistic to her primary business, not symbiotic. Instead of a 2-3 endeavor to spin it out and, fundraise, and exit, it becomes a six-month exercise in due diligence and ultimately rolling it back into what the main business was doing. It was a fast fail, but we saved a tremendous amount of money and human resources in so doing.

Scenario #1: You don't have the offer yet: β€œI’m hesitant to lose the opportunity on the off chance I quote something too high. The research I did was around [HIGH #], is that close to what the company budgeted?"

​

Why this is smart:

  • Demonstrates your value
  • Establishes empathy for their potential constraints
  • β€˜Blames’ the research
  • Depersonalizes by saying β€œcompany” instead of β€œyou”
  • Opens the conversation

​

Scenario #2: You received an offer: "I found in my research that a top performer makes approx. [HIGH #], and since I hope I've proven myself to be one, I'd expect something close. Especially since I know this is a company that values pay equity and invests in their employees."

​

Why this is smart:

  • Anchoring high is proven to increase your salary
  • Positions the convo to learn about their comp philosophy
  • Holds them to a higher standard while making them feel good
